职位描述/要求:

Objective of job
• To assist Head of Region to handle various tasks such as correspondense, reports, presentations; filing of records, follow-up on assigned tasks,
• Liaision with different departments/ project teams within MBCL and different external parties.
• To provide secretarial and administrative support to the Head of Region and take responsibilities delegated by the Head of Region in terms of managing and tracking of tasks and projects.
• To provide support to the regional office, coordination of office logistics & maintenance activities to assure smooth operation.
Job designation
1. To consolidate presentations, correspondences and reports to VP and manage the filing system
2. Daily Support to Head of Region
- Providing secretarial and administrative support to the Head of Region and taking
responsibilities delegated by the him/her in terms of managing and tracking of tasks and projects.
- Receive and screen telephone calls and visitors.
- Organize and manage the schedule of the Head of Region and arrange meetings, events & appointments according to the instruction from Head of Region
- Update Head of Region's travel plan timely and coordinate the travelling arrangements (hotels, flights, transportations, etc.) for him/her.
- Assist in filing and archiving of the relating documents for Head of Region.
- Preparation of reimbursement claim for Head of Region.
3. Coordination & organization of events and activities within region
- Coordinate events and conferences and prepare the relating issues.
- Coordinate & communicate with other departments regarding responsible
- Cross functional activities.
4. Administrative Support to Department
- Coordinate office logistics & administrative activities within region.
- Follow up the proceedings for the paper documents, which have been signed
by VP. Send to F & C, HR, IT or Admin for following approval procedures.
- Coordinate the meeting room arrangement and prepare the meeting room
facilities.
- Handle administration & communication correspondence for department.
Assist in distribution and delivery of physical communication materials.
- Support travelers in terms of visa application.
- Other miscellaneous office administration activities.
5. To communicate with all teams within Region East and other departments for updates on related on-going projects.
- To take care of meeting minutes and followup actions
Qualification required
Education
-Bachelor Degree or above. (Major in Business Administration, International Economics, etc.)

Experience
-At least 3 years working experience (preferred automotive industry)

Special Knowledge
- Knowledge of electronic data processing (both English & Chinese) with MS Office (Word, Excel,
PowerPoint, Lotus Notes) Skills.
- Ability to think, work and act strategically and conceptionally
- Ability to visualize and communicate ideas and concepts
- General flexibility regarding tasks and time
- Fluent in English and Mandarin. (Cantonese is an added advantage)
