HR KA Assistant

Objective of job
Maintain employee database and HRWT system; New employee check-in process & check-out process and personnel file management; Assist HR KA to implement HR related policies and processes; Prepare some reports while needed e.g. headcount report, workforce report, etc.; Key user of ESS system; Support HR team to complete other assignments while needed.
Job designation
Employee database and HRWT system:
• Input, update and maintain employee database and HRWT system and download report from HRWT if needed;
• Input, update and maintain other employee records, such as emplyee transfer, new comer performance assessment, employee welfare, contract extension, etc.

HR related policy and process:
• Take full responsibility for new employee check-in process and personnel file management ,
• including material preparation, new comer orientation, document collection and filing, etc;
• Assist HR KA to implement other HR policy and process for local staff, such as check-out, employee transfer (internal and cross legal entity), contract extension, etc;
• Assist HR KA to implement other company's benefit program, such as referral program, education subsidy program, heating system allowance, marriage coupon, one-child coupon etc;
• Respond to questions raised by employees regarding HR relevant topics, such as OT, leave.

HR reports:
• Prepare other reports required by different departments: 104, 204, workforce report, etc.

Admin support to local employees:
• Handle ESS system as key user of HR Admin function, such as approve or reject leave application, advise BU managers and staff how to use ESS system, generate leave and overtime report to support payroll process;
• Provide daily support to local employees to get HR related required certificates, such as income certificate, employment certificate, etc.

Cooperation with FESCO/CHINA LIFE for staff issues:
• Cooperate with FESCO to get local staff/Beijing's contracts signed or extended timely;
• Cooperate with FESCO to help handle labor issue/problems;
• Cooperate with China Life for employee supplementary insurance enrollment and insurance fee calculation, health check or supplemental medical insurance issues

Other tasks as assigned:
• Audit check of Employee Car Purchasing Program;
• Work with visa agent on work permit & visa application/renewal;
• Organize New Comer Orientation.
Qualification required
Education:
• Bachlor degree or above;

Experience:
• Minimum 1 year work experience in HR or administraction work;

Special Knowledge:
• Good communication skills with persons from different culture;
• Conduct multiple work with efficiency and accuracy;
• Friendly and patient working attitude;
• Good command of English;
• Proficient in MS Office & Powerpoint.
